Custom Packaging RFQ Template and Quote Comparison Guide
A comparable packaging RFQ fixes the technical scope, packing assumptions and delivery boundary before suppliers quote. Use the same specification for every bidder, require written deviations and compare delivered cost per usable unit rather than headline unit price.
Short answer
A complete RFQ identifies the product, finished package size, structure, material or performance requirement, quantity, printing, finishes, insert or closure, artwork status, sample and test scope, export-carton assumptions, destination, and the requested Incoterms rule with named place. If one item is unknown, label it “supplier recommendation required” instead of letting suppliers make different silent assumptions.

2. Normalize freight and dimensional weight
UPS defines dimensional weight as the space a package occupies compared with its actual weight. Its public guidance expresses the calculation as length × width × height divided by a divisor, while telling shippers to consult the applicable rate guide. FedEx likewise states that the charge uses dimensional or actual weight, “whichever is greater.” These rules make finished outer-carton dimensions a commercial specification, not an afterthought.
- Ask for units per export carton.
- Ask for the packed carton’s outer length, width, height, gross weight and net weight.
- Calculate dimensional weight using the current carrier/service divisor and rounding rules.
- Compare actual and dimensional weight under the carrier’s billable-weight method.
- Multiply by carton count and add route-specific charges only after every quote uses the same shipment assumptions.

3. State the delivery boundary precisely
The International Chamber of Commerce explains that Incoterms 2020 allocates defined transport, delivery, cost and risk responsibilities between buyer and seller. A three-letter rule without its named place or port is incomplete for comparison. Write, for example, “FCA [named place], Incoterms 2020” or “DAP [named destination], Incoterms 2020,” then list services and destination charges that must be included or excluded.
Incoterms rules do not replace the full sales contract, product specification, payment terms, title transfer, warranty or destination-market compliance. Keep those requirements in separate written clauses.
4. Separate approval evidence from marketing claims
Request evidence connected to the exact package and use case: material data, artwork revision, approved sample, inspection plan, test method and test conditions. ISTA Procedure 3A is described by ISTA as a general simulation for individual packaged products moving through parcel delivery systems. That does not mean every package needs 3A or that mentioning a test standard proves a package passed it. Define the distribution route and obtain an appropriate test plan from a qualified laboratory or packaging professional.
5. Compare delivered cost per usable unit

Use the formula: total comparable project cost ÷ accepted usable units. If no reliable defect or damage rate exists, compare scenarios instead of pretending a precise risk percentage is known.
